Quotes, bookings and callbacks that happen while you’re on the job

I build the automations behind it for small service businesses: a real price the customer gets on their own, booking with a deposit, a text back when you miss a call, and follow-up until they book or say no. Movers, cleaners, contractors and other small crews.

The call is with me. If I’m not the right fit, I’ll tell you who is.

I’m Ryan Milly. I ran Confidence Moving Labor in Oregon from 2018 and grew it to 25 people. The first system I built was for us, and it still books jobs while the crew is working.

  • Your questions, your prices. I build the form from what you already ask on the phone and how you already price.
  • The tricky parts are in the number. Stairs, heavy items, square footage, drive time: whatever changes your price.
  • It knows when to stop. Big or odd jobs get a site visit instead of a guess.
  • The deposit books it. The customer pays to hold the date, so fewer no-shows.

What you see

One text when a job is booked: the date, the job and the deposit. Everything else is already on your calendar.

What’s costing your shop time?

Check what sounds familiar. The box shows roughly what I’d tell you on a first call.

What happens at your shop?

Here’s where I’d start

    My own shop first

    What it fixed at Confidence

    1. Stage 1

      Pen and paper

Every job, quote and callback lived in a notebook and in my head.

    2. Stage 2

      A CRM

Jobs and customers in one place. Callbacks still depended on someone remembering.

    3. Stage 3

      CRM plus texting

The CRM sends texts and alerts through Twilio, so nobody has to remember.

    30%

of calls went to voicemail while we were working. We called back by hand, usually within 30 minutes.

    20%

of calls waited more than an hour for a callback, or never got one. Those are the jobs that went to whoever answered first.

    A business that isn’t mine

    Just Little Steps

In-home childcare in McMinnville. Before, schedules, hours and invoices were tracked by hand. I set up:

    • Client records, invoices and online payments in Invoice Ninja
    • A service agreement parents sign online, with the rates written in

Just Little Steps is my wife Ashley’s business, so count this one as family.

    Rates

Most owners start with the audit. If we build something afterward, the $500 comes off the build.

    Systems audit

    $500

We go through how a lead becomes a paid job at your shop. You get a written plan: what to fix first, what each fix costs, and which tools you’re paying for that you don’t need.

    • Plan in your hands within 5 business days
    • Credited toward a build for 60 days
    • Not worth $500 to you? Tell me within 14 days and I’ll refund it

    A build

    from $2,500

One connected piece, written up and agreed before work starts: a quote form, missed-call text back, booking with a deposit, or your CRM, texts and calendar talking to each other.

    • Fixed price for the written scope
    • Half to start, half when it works on your phone
    • 30 days of fixes included

    Keeping it running

    $500 a month

Automations break quietly when a vendor changes something. I watch the results, fix what breaks and send you a short note each month.

    • Month to month
    • Cancel with 30 days’ notice
    • You keep every account and the code either way
An hour on the phone for a second opinion on a tool, vendor or plan: $200Read the full terms

    Will it pay for itself?

Put in what an hour of your time is worth. The hours are my rough guess for one build at a small crew, so check them against your own week.

    How long a build takes
BuildAlready on a CRMCalendar and spreadsheetsPaper and phone
    Missed-call text back1 week1 to 2 weeks2 weeks
    Quote form with your pricing2 to 3 weeks2 to 3 weeks3 to 4 weeks
    Booking with a deposit1 to 2 weeks2 weeks2 to 3 weeks
    Reminders and review requests1 week1 to 2 weeks2 weeks
    CRM, texts and calendar connected1 to 2 weeks3 to 4 weeks4 to 6 weeks
    Paperwork and invoices1 to 2 weeks2 to 3 weeks3 to 4 weeks

Weeks from a signed scope to working on your phone. These are my estimates; the written scope gives you a date. Business texting needs carrier registration, which can add a few days to a few weeks.

    What the tools cost you
    ToolTypical cost
Business textingAbout $15 to $30 a month for a small crew, plus a one-time carrier registration of about $20 to $60
    Card paymentsAbout 2.9% + 30¢ per payment
    Booking calendar$0 to $15 a month
A field-service CRM, if you need oneFrom about $50 a month per user
Hosting for what I buildIncluded on the monthly plan, otherwise about $5 to $20 a month

You pay vendors directly, in your name. I don’t mark them up. Vendor prices change, so the audit lists your actual numbers.

    Who you’d be working with

I started Confidence in 2018 and grew it to 25 people. I hired out of a recovery program from day one, and we still do.

That set the tone for everything. Be clear about what the job is, estimate heavy so people can budget, and tell customers what to watch out for with any crew, even if they don’t hire us. About three out of four leads that called us booked.

When I stepped back from the trucks I went looking for tools for the office side: quotes, missed calls, deposits, reviews. The software was priced for bigger companies, and the lead marketplaces wanted 15% of every job, so I started building my own.

Confidence movers strapping a hot tub standing on its side in a narrow side yard
A massive job, and the whole team came out. We had to get it down a hill to the truck, and John’s big two-wheeler couldn’t make the climb. The customer drove his Jeep down, hooked up the trailer we’d brought and hauled it to our truck. Long day.
Two movers beside a grand piano in a round sunroom
One hell of a piano. Four men, two sets of straps and a lift gate. One of my guys kept me from getting crushed. I learned to trust my team on this one.

This upright was a beast. That’s Dave on the right in the blue shirt, my old manager. Still my best friend.

    Before you book

The questions owners ask me most. If yours isn’t here, ask it on the call.

Do I need to be good with computers?

No. If you can tell me how your week goes, that’s what the audit needs. You’ll test everything on your own phone before it counts as done.

How long does a build take?

Usually one to four weeks, depending on what you already use. The table above has my estimates, and the written scope gives you a date before you pay.

What will the tools cost me each month?

For texting and a booking calendar, usually $15 to $45 a month, plus card fees when customers pay. The audit lists your real numbers.

Can I stop the monthly plan?

Yes, with 30 days’ notice. You keep every account, the code and my notes, and I hand over anything that’s in my name within a week.

Will it work with what I already use?

Usually. If your CRM or calendar has a way in for other tools, I connect to it. If it doesn’t, the audit says so before you pay for a build.

    Who owns what you build?

You do. Accounts go in your name where possible and you can see the code. Nothing is stuck behind my login.

    What happens when something breaks?

If you’re on the monthly plan, I usually catch it first. If not, you have the notes and anyone competent can pick it up. Every build sends a person an alert when it stops working.

    What about my customers’ information?

Passwords and keys live in a vault, never in the code. Every page that shows customer data needs a login. I’ll tell you which outside services touch your data and why.

You use AI to write the code. Who makes sure it works?

I do. I direct AI to write it, and I own the parts that decide whether it works: what it should do, the rules it has to follow, the checks it has to pass, and making sure it works where your customer sees it. It’s the same job as running a crew.

Do you only work around Newberg?

I know Willamette Valley businesses best, but all of this runs online. I work with owners anywhere in the US.

    Book 15 minutes

    1. You tell me what kind of business you run and where the week goes sideways.
    2. I tell you what I’d fix first and roughly what it costs.
    3. If an audit makes sense, we set it up. If I’m not the right fit, I’ll tell you who is.
